Capture-Routing — SSOT

The one protocol for getting an idea from anywhere into the right place in the vault. Owned by Processes (JD).

Consolidates and supersedes Core/Ideas-Workflow.md (2026-07-09), which itself replaced Simple Markdown Task Management/Ideas Workflow.md and MBR/IT/Processes/Business-Ideas-Workflow.md.

Capture (Stage 1)

All ideas go to the appropriate dept Inbox.md as a single bullet.

  • Business idea → <Biz>\<Dept>\Inbox.md
  • Cross-business idea → Core\<Dept>\Inbox.md
  • Unknown routing → Core\_WorkingOn\Tasks\_tmp.md (triage later)
  • Web clippings → Core\Misc\Clippings\ (single intake — design being finalized in the idea-capture-workflow task, KB-OS)

Mobile capture: create the bullet in the dept Inbox directly via Obsidian mobile. No separate app needed. Quick inbox links live on the AI Agent Team roster and each business DASHBOARD.

Promote (Stage 2)

When an Inbox bullet is ready to become active work, promote it to a TaskNote:

  1. Right-click the owning Tasks\ folder → New File — the SMTM Templater wizard fires (v5.4) and auto-registers the task. (KB-native Ongoing Projects use their own Projects/<name>/Tasks/.)
  2. Frontmatter comes from the SMTM template — the template is the SSOT for fields; do not maintain a copy here.
  3. Delete the Inbox bullet (or mark with [PROMOTED]).

Archive (Stage 3)

When complete/parked: move to <Dept>\Tasks\archive\YYYY-MM\ (done by /task-complete).

What belongs in the KB (Save criteria)

ONLY store information that:

  • is internal and unique to business or personal life, OR
  • is a resource with probable future reference value that cannot be externally searched or generated by AI

Prefer effective, AI-friendly, future-proof, local tools without vendor lock-in (Obsidian).

Capture sources still needing an efficient path

  • Videos (YouTube), PDFs (e.g. Globe and Mail downloads), audio — see idea-capture-workflow
  • (Legacy Dynalist capture conventions — color scheme, inbox sections — are sunset; preserved in git history of Simple Markdown Task Management/Ideas Workflow.md.)
